The Monday email that helps reduce subbie no-shows
A subcontractor no-show can disrupt the day, force trades to be re-sequenced and create an awkward owner conversation. A Monday lookahead cannot prevent every change, but it can give the team earlier written notice and surface availability conflicts sooner.
The system, in full
Every Monday, same time, every active sub gets a 2-week lookahead: what's happening on each of your jobs this week and next, when they're expected, and what needs to be true before they arrive. That's it. No software required.
Why it works
- Subs juggle multiple builders. Confirming expected dates in writing gives everyone a clearer reference point for the week ahead.
- Problems surface a week early. "Can't do Thursday" on Monday is a reschedule. "Can't do Thursday" on Thursday is a no-show.
- It's a record. When the argument comes — "you never told me" — the email says otherwise, politely and permanently.
Why builders don't do it
Because preparing individual updates takes time, especially on busy weeks. A repeatable template or an agreed automation can reduce the manual preparation while keeping a review step before anything is sent.

Not ready to automate? Use a standing Monday calendar block and one template, then send each subcontractor only the project and scheduling information relevant to them. Keep this week and next week in separate sections, and confirm the details before sending.
